Data Use and Privacy Policy

Personal Data

Alpha Animal Physiotherapy Ltd. collects personal information about its clients for the purposes of performing veterinary physiotherapy services and any follow up services. This information may include, but is not limited to your name, address, mobile/telephone number, email, insurance details and relevant information from your vet. We may also receive the above information from your veterinary practice or insurance company where necessary in carrying out veterinary physiotherapy services.

Your data is held securely and is only shared with relevant paraprofessionals or your vet to ensure they remain up to date with the progress and changes with your animal. Upon agreement of treatment for your animal by Alpha Animal Physiotherapy Ltd. you agree for your data to be processed by our company and these details may be used to contact you regarding future appointment reminders, providing reports from sessions, invoices and payment information alongside anything else relevant to your business with us. In certain circumstances we may be required to share your information with other paraprofessionals and/or insurance companies. We will request your written permission first, unless we are under legal obligation to comply.

Other ways your personal data may be used for legitimate interests include: 

• Managing complaints, feedback or queries to ensure you are receiving the service you expect 

• Managing our business to meet our aims and objectives 

• To send marketing materials about us where you have provided your consent (this can be withdrawn at any time by contacting us via email or telephone)

Your data will be kept for as long as required for the purposes for which we collect it, for veterinary physiotherapy notes this is eight years, for accounts this is seven years and where we are required to keep your data for legal or regulatory reasons, this will be kept for at least as long as specified in order to comply. Ater these periods of time have passed; your data will be shredded securely. 

Data is kept on secure servers, personal computers and mobile devices, we will do our best to keep this data secure, however, we cannot guarantee the security of personal data transmitted via email or our website due to the inherent risk associated with transmitting data over the internet. This is therefore done at your own risk.

Data Use

Due to the nature of this business, Alpha Animal Physiotherapy Ltd. holds data about you and your animal, once you have agreed for us to treat your animal, you authorise us to use that data for the service that we provide you. We will comply with the provisions of the General Data Protection Regulation and Data Protection Act 2018. Where required, we will pass on data regarding your animals’ clinical history, physiotherapy findings and treatment programmes to insurers. We will not share your details to other agencies except in cases of debt collection. 

 

Accessing your Data

Should you wish to access the data we have stored regarding yourself and your animal, you will need to request this directly via our email address (office@alphaanimalphysio.com) or telephone 07549569287. You will be required to provide two forms of valid ID (one of which must be photographic ID) and a utility bill that is no more than 3 months old. 

 

Client Confidentiality and Ownership of Records

The relationship we build with our clients is based upon trust, we will not disclose or discuss any information about a client or animal to any third party without consent provided by the client/owner of the animal. All clinical records for each animal seen by Alpha Animal Physiotherapy Ltd. will be retained as our property. Any veterinary surgeon or paraprofessional taking over the case may be provided with copies of relevant paperwork but only when consent or request has been provided by our client.
